How to Add a School Calendar to Google Calendar (3 Ways)

Your school's calendar exists in three forms — a live feed on the district website, a PDF in your email, and a paper copy on the fridge — and only one of them goes into Google Calendar directly. Subscribe to the school's iCal or "Add to Google Calendar" link if it exists; if all you have is a PDF or paper flyer, photograph or upload it in Calendara and let AI turn every date into events that sync into Google Calendar. Here's each method step by step, plus how to make sure the whole family sees it.

The short answer

Method 1: Subscribe to the school's calendar feed

This is the best method when it's available, because the calendar updates itself when the district moves a date.

Find the link. On the school or district website, open the Calendar page and look for "Subscribe," "iCal Feed," "Add to Google Calendar," a webcal:// link, or an .ics URL. Sites built on Finalsite, Blackboard, or Google Sites usually have one. Some schools offer separate feeds per school or per grade — pick the narrowest one that covers your child.

Add it in Google Calendar (web):

1. Open calendar.google.com on a computer.
2. In the left sidebar, next to Other calendars, click +.
3. Choose From URL.
4. Paste the link and click Add calendar.

The school calendar appears in your list within a few minutes and shows on your phone automatically. It's read-only; you can hide it, color it, or turn its notifications off without affecting the school's copy.

Two limits. First, it's in your Google account — your partner needs to subscribe separately, or you add the school's events to a shared family calendar (see below). Second, district feeds cover district-wide dates; the classroom flyer with the field trip and the book fair usually isn't in there.

Method 2: Photograph or upload the school calendar in Calendara

When the school only sends a PDF, a printed calendar, or a photo in the parent group chat, use Calendara.

1. Open Calendara on your iPhone or iPad and take a photo of the printed calendar or flyer, or upload the PDF from Mail or Files. Screenshots work too.
2. Review the extracted events. AI reads the whole year calendar — first and last day, holidays, early dismissals, conference days, picture day, spirit weeks — and lists every event with its date and time. Fix anything that needs it and assign events to the right child so they show in their color.
3. Save to the shared family calendar. Everyone in the family sees the events on their own phone.

One honest note: Calendara is iPhone and iPad only. Android parents get the results through Google Calendar via the sync, but the photographing happens on an iPhone.

Method 3: Import an .ics file

Some schools offer a downloadable .ics file instead of a live feed. In Google Calendar on the web: Settings → Import & export → Select file from your computer, choose the .ics, pick which calendar to add the events to, and click Import. This is a one-time copy — if the school changes a date later, you won't get the update. Making sure the whole family sees it

A school calendar in one parent's Google account helps one parent. To share it:

• Google family calendar. If you've set up a Google family group, you already have a shared "Family" calendar. Subscribed calendars can't be added to it directly, but you can copy key events into it, or — simpler — have each parent subscribe to the same school feed. Which school dates to prioritize

If you're only going to get some of it in, get these: first and last day of school; every early dismissal and half day (the ones that strand kids at pickup); parent-teacher conference days; winter, spring, and mid-winter breaks; picture day; and any date with a deadline attached — permission slips, registration, spirit-wear orders. District feeds carry the first five reliably; the flyer-only dates are where photo capture pays for itself. Troubleshooting

The From URL option isn't there on my phone. It's web-only. Subscribe on a computer once; the calendar appears in the Google Calendar app afterward.

The feed shows dates from last year. Some districts publish one feed per school year — look for the current year's link on the calendar page.

Times are off by an hour or more. Check the calendar's time zone in Google Calendar settings and the district's; feeds occasionally publish in UTC.

Events extracted from the PDF landed in the wrong year. Many school calendars print "Sept 14" without a year. In Calendara's review step, confirm the year before saving.
